Mary's Meals Canada (MMC) is recruiting for a P/T Financial Administrator who will be responsible for providing finance and operations support to Mary's Meals Canada.

This includes assisting with the review and reporting processes and the provision of financial support to the MMC team in order to ensure that the correct financial management is in place.

Key Responsibilities include:

Fundraising and Finance Operations

  • Manage donation processes both postal and online, including banking of donations received
  • To support the Fundraising Coordinator with the review of first draft financial strategies, budgets, monthly management information and ad hoc analysis including numbers and narrative
  • To support the Fundraising Coordinator in the development and implementation of standardised financial policies and procedures at MMC
  • To support the Fundraising Coordinator to develop models for financial systems, administrative systems
  • Recording donations and updating of database and acknowledgement of donations received
  • Ensure strict adherence to procedure for funds transfers to Mary’s Meals International and liaise with MMI Finance Department
  • Processing of monthly salary payments including expense reimbursements
  • Ensure safe cash handling procedures and management of petty cash
  • Timely payment of invoices
  • Compiling and preparing of monthly financial reports and quarterly re-forecasting for MMC records and submission to Mary’s Meals International.  
  • Completing quarterly GST/HST returns
  • Annual Tax receipting
  • Compiling and presenting quarterly financial reports for board meetings:
    • Account analysis
    • Annual Budget preparation and monitoring
    • Audit preparation and communications as required

Collaboration with Others

  • To contribute to team meetings and organizational priorities.


  • To be proactive in keeping up to date with developments affecting the role, including any ad-hoc or ongoing training requirements, subject to the needs of the Charity.

General Administration

  • CRM/Donor database management and updating
  • Phone receptionist, dealing with phone and email queries and requests
  • General office administration including purchase of supplies and filing
  • Ensuring fundraising materials are available to supporters
  • Assistance at fundraising events
  • Mail-outs
